HSBC Loan Direct debit cook up

I requested the Personal banker in Hatfield Branch to close my account as I no longer get my salary credited to HSBC account. Unfortunately , the personal banker in Hatfield branch office refused to do, since I have a loan from HSBC and the bank will not accept the loan amount repayments on Monthly instalments from any other bank. Hence I have to keep this bank account active and deposit the Loan amount every month into this account. To my surprise I was charged £25.00 on 7th of every month towards the fee for this loan amount as there were insufficient funds in my account. As I can’t have any other alternative method, in come in person on every 8th and deposit the loan amount around £262.00 into my account. I accidentally found that on the bank trying to take the loan amount from my account on 7th of every month and also charged a penalty fee on the same day for £25.00 as there are insufficient fiunds on the same day. I called immediately last month and informed them and one of the Customer service member was kind enough to listen to me and promised me that she will refund the money for that month. This was the main reason why my account was over drawn and that made the bank to withdraw the Overdraft as effective from 24th October.
Also I just found , even the previous month they have charged £25.00 on 7th as they have tried to adjust for my loan amount on that day. When I gave an instruction in person to Hatfield Branch to change my Direct debit to 8th of every month, how could it be possible for the bank to try to take the money on 7th. I am not sure for how long I was been charged like this when the actual direct debit date falls on 8th.
This is my status. Can someone advise me what to do in order to get the refunds.
