Part Exchanges Questions

Hi
we are wanting to part exchange towards the year in a house we own but dont live in (we rent another )
we will be using a broker.
if we want to move november when would we start the process?
obviously we cant see what our house is worth for part exchange until we have a dip, and then itll depend largly on the ammount offered
our tenants contract ends just before then, and I dont want to cause problems by asking for access as I dont think Id like disturbing them before the term ends.
Im guessing the company needs full access, to do a part exchange price so do I wait till the house is completely clear?
Im just looking for part exchange experiaces, as its all new to us,
