Will a debt collection letter issued in error affect our ability to refinance debt?

My wife and I have been slowly but surely paying off our loans and credit cards over the past few years and were hoping to refinance our debt in the near future to make it easier for us to pay off the remainder. Recently, however, we received a debt collection letter in error which we're worried will affect our chances of refinancing if it appears on our credit file, even though we've never missed any other bills or debt repayments.

We received the debt collection letter regarding an unpaid Vodafone bill after my wife moved to a different carrier. We had been waiting to receive the final bill from them before paying it off but because they did not issue it due to an admin error, without us knowing the bill went to debt collection, which we of course paid off as soon as we received the letter.

When she initially contacted them, Vodafone were extremely rude to my wife over the phone but after we posted about it on their customer service forum they got in touch, admitted the error, agreed to refund some of the debt recovery charges and said they would see if they could make sure the debt collection didn't appear on her credit file. However, they haven't got back to us since and my wife was so upset by her initial contact with them that she doesn't feel she can contact them again.

I'm just worried that because we haven't heard from them, the debt collection will appear on her credit file after all. We both subscribe to Experian's Credit Expert service and nothing has appeared on here since this happened in early December - but does this mean it definitely won't appear on her file?

I know that different companies use different credit agencies, eg. Equifax. The debt collection agency was called Frederickson International I believe.

To enable me to get this looked into further, could you ask your wife to email me with her details via the link in our profile here?

All she needs to do is copy and paste the link into her web browser and it'll take her to the Contact us form on our website. To make sure it reaches me could she also quote the code WRT135 - MSE in the subject line?

Once sent she'll receive an automated reply with a reference number. So I can make sure I've got it could you update the thread with this and I'll get back to her as soon as possible?

Thanks very much for your reply. I seem to remember she was asked to submit details via a similar link when we posted about this on the Vodafone forum in December. She's happy to do this again but can you please confirm that this time she'll be able to continue the conversation by email only, as she was quite upset by the way one of your customer service reps talked to her over the phone when she initially called up regarding the debt collection letter.
