We hired a hall on 22nd September and apparently there are deep scratches on the floor from where something has been moved across the floor.

The hall are now withholding our deposit. We was not advised of this damage on the night when we handed the keys back. We then chased 3 weeks later and was then advised of this damage. They have provided photos of the damage but the photos are not dated so these could have been taken at any time after we hired the hall.

In my eyes the hall should have notified us of this damage straightaway if this was caused will we had hire of the hall.

Can anyone help in best ways to approach this

Did you move anything across the floor that was likely to have caused the scratches?

If you did, and if it was the sort of object that you ought to have known would scratch the floor, then I think this will turn on whether the hall can show you did the damage. Dated photographs wouldn't necessarily be needed; a photograph of your event with your large scratchy object in the middle of their floor might do.

If you didn't, then I don't think you can be held liable.
  • The DJ had speakers that they moved across the floor but these where transported on runners and we assisted with moving the speakers in and out of the hall.

There are no pictures of the hall that they have provided with the speakers in the hall.

just pictures of an empty hall and the scratches.

As far as im concerned what they have provided is all circumstantial.

What i would like help with is as well is a template of how i should write my letter.
