    A quick easy way is to have a company bank account with a debit card, use the debit card for all fuel payments and then bank statements are easy to tot up and they list when and where.

    Please do not quote me on this, i'm no expert. My understanding is, If you do the miles you are entitled to the allowance regardless of car ownership. If investigated and found to be actively avoiding paying tax you can be fined or imprisoned. If you have made an honest small mistake it's likely it will just be corrected.

    I keep a business diary and even if I forget to set the trip counter, then AA route finder will provide the mileage. In this litigious society you just never know when you will be needed to prove where you were and what you were doing. [I have already seen off a fraudulent accident claim] and you may well need to prove due diligence by keeping a record of checking the vehicles condition before you use it each day.

    I seem to remember an old hand at HMRC saying he preferred hand kept records because they are more obvious if fiddled.
  • Thanks for the help guys, i was a bit worried about not having all of the reciepts bur the wife does keep a mileage log which i can now work out the car allowances from.

    It's worth noting that my MOT certificates seem to have the car mileage recorded. Obviously not a lot of use if you have a car less than 3 years old (or otherwise exempt from MOT), but in that case - should you need them - do you have service records? again, mileage is recorded on ours.
