Advice re: a win

I won a VIP trip to London with hotel stay, meal and top price tickets to mamma mia. The original terms in the competition were for it to be taken on any Friday night before the end of April.
The letter I received was dated 11th April but I didnt receive it until 26th April but the letter said it could be used on any Friday before 30th June.
Due to work commitments the only Friday both my sister & I could get off was 29th June. The lady I spoke to said she would email the hotel and then arrange the other elements & if I hadnt heard to assume everything was ok. I hadnt heard anything for a few days so in my excitement, booked our train tickets as they can get expensive travelling from the north!
The lady has emailed me today 1 1/2 weeks later to say that sorry but the hotel dont have any availability that Friday due to Wimbledon. (checked on their website & they do have availability but obviously not complimentary ones!).
Trouble is now we have train tickets booked which can be changed but for a fee of £40. The lady did say she would see if the tickets could be extended but I pointed out that it would then be the olympics!
She is going to ring me tomorrow as she was away from the office, does anyone know where I stand? I am slighly upset as I was really looking forward to it, silly me!

£40 just to change train tickets is a complete rip off. Instead of paying the £40 fee you could just book a cheap hotel i.e. travelodge and have two London breaks.
Where are you travelling from and how much did you pay for your train tickets?0 -
We booked the train tickets from Preston to London Euston, we paid £43.50 each for each of them and £1 booking so it was £88 altogether.
Could book a hotel I have been looking at that to see how cheap we can get one for.
I also have £100 theatre tokens that I won in a competition before christmas that we could use too.
Hopefully will know more tomorrow when the lady phones me back.
