Thanks for the replies. I was letting the issue go until some friends commented on it and said they'd take action. So its interesting to get other people's take on it. Its the only vehicle in the business so the money did hit hard and insurance doesn't cover that type of mistake. The worst part was not getting an apology or offer to even pay for the wasted fuel. Just have to hope it never happens again and get written cover in the handbook.

In this case, I think it would be OK for you to have a word with the person. Perhaps point out that you will let it go this time, but it cost the firm xyz-amount of money, and please be more careful next time.

What you suggest about the handbook, etc. sounds exactly right.

Very best wishes to you. xx

if you are thinking about charging the employee re. this does it also work the other way around?

ie. if they happened to save or make the company £x amount, would you pay that out to them likewise?

Crazy I know but yes, he has been using the van for about 18 months so has refueled it many times. There is also a diesel label on the fuel cap so can't make it much clearer.

That's the nature of the beast though. Mistakes happen when least expected.
