Personal Information

The company I work for have sent everyone a form to fill out, asking information including:

email
nationality
Emergency contacts
Doctor details
Family details (dependants etc...)
Languages spoke
Qualifications
car make/model/registration

They already have my name, number, address, NI number (on pay slip), but is there any law stating that I HAVE to supply them with the rest of the information above?

I don't mind them having an emergency contact, but for the rest, personally I think it's none of their business, and as the accompanying letter just said to "fill it in" rather than why they wanted the information, then I'm reluctant to do so.

So, do I have to tell them this info??

No, I am not perfect, but yes I do judge people on their use of basic English language. If you didn't know the above, then learn it! (If English is your second language, then you are forgiven!)

    I'd be asking why they need it, and how they intend to use/safeguard it.
    This is an open forum, anyone can post and I just did !

    They are required to keep any information they have on you up to date (emergency contacts etc) - but why would they want your doctor's details? Its none of their business unless they actually need to contact them, in which case they can ask you for that information should that situation arise. And any information they hold can only be used for the purpose for which they hold it - for example emergency contact details could be used to contact your partner to get hold of them should you drop dead at work, but not to get hold of you on your day off.

    I have since giving my email address to the place i work i have received no end of teeth whitening and payday loan spam emails. my advice is dont give those details if there is no need to, but like everyone has said i'd ask why they need the information.

    As above. It may be something that the hierarchy have been asked to do and could be within their rights to if they can justify their reasons (which they probably can...apart from the doctor one which I am unsure on).
    Would fall under the DPA as to why they need it, what for, how long for and what they intend to do with it now/whilst you are employed/after you are employed by them.
  • Here's why they might be wanting them

    email - staff email newsletters, getting non urgent information to you cheaply
    nationality - Office of National Statistics request
    Emergency contacts - if the worst happens and you have an accident or fall ill, would you rather have a relative by your side or Smelly Steve from Accounts
    Doctor details - as above
    Family details (dependants etc...) - as above
    Languages spoke - the company has expansion plans into Europe and wants to know what skills they can utilise
    Qualifications - juts to prove they haven't employed a load of morons
    car make/model/registration - parking is going to regulated

    alternatively the HR role could have been taken over by a very nosey person
    It's taken me years of experience to get this cynical

    E-mail is an interesting one. Many companies provide an e-mail address to staff, I assume yours doesn't? Or if it did, why would they not already know it?

    That's all standard data capture info where I work. What field are you in? I doubt you HAVE to fill it in, but there's no harm in it. We are able to use the car data info to alert people if they've left their lights on or they're blocking a delivery access, happens more often than you'd think!

    I have a work email, which I can access from home, so I've put that one on the form. I don't think they need my personal one...

    I've left blank the doctor info, car details, languages spoke, qualifications and family details, and will email HR to ask them exactly why they need these details, as it's not something I really want to share with them, and they ought to know some of the answers anyway!

    I suspect it's HR being nosey, and I don't overly trust them. Speaking to others, they've also filled many of the boxes with "N/A", as they haven't been told what the information is for.

    I have a work e-mail for work related things, and a private e-mail which I don't give out to just anyone. That way I can keep them separate which is good when I'm off work (like now, over Christmas) so I can do the personal stuff without the work stuff catching my eye and me saying 'I'll just look at that one...'

    But maybe that's my workaholic tendancies coming out? ;)

    I have given my personal e-mail to a trusted work colleague, but only one and at my discretion - she knows not to use it unless it really is an emergency and she's tried all other ways to contact me.
