Disciplinary Hearing advice !!

Hi all

Hope you could give me some advice on this matter.

I have been suspended from work and am awaiting a disciplinary hearing in regards to to this.

When I am at work I book my hours onto our production software. We also have an electronic door logging system which give us access to the building using a fob.

The issue the company is claiming is that I have been booking hours to the production system when the door logging system advises I am not in the office.

I did not realise they use the door logging software to do this and I am really shocked and surprised that I have these discrepancies as I have no intention to defraud the company and have in my eyes been a dedicated member of staff.

In there eyes I can see where they are coming from and I have no proof to say otherwise.

They are threatening dismissal and the manager who is doing the hearing is a very formidable character. This is the first time I have ever been in trouble at work and I have never had a bad word said to me by the management. I am really worried I will crumble in the hearing I have got someone coming in with me but i'm still worried.

I was going to wright my response in a letter and present it at the meeting to try and help myself out.

Any comments would be great.

    i think writting stuff down can only help. it will keep you calm and make sure u have said all you have wanted to say. otherwise u might panic and get lost on your train of thought. do u have the dates times ect and was there anyone whould can stand up for you and say she was hear on xy and z?

  • What sort of discrepancies are they?

    For example, an average week?
    If you haven't got it - please don't flaunt it. TIA.
  • The main question here is why are they discrepancies; are any explanations provable or likely?

    If you have to log in to the office and havent been yet are claiming hours how are you managing this?
  • Can you ask for a copy of the evidence, not just of the times on the days they have a problem with, but over an entire month or 3 months, say? If you genuinely haven't been trying it on, then I imagine there will be some days where you have under-reported your hours as well as some you have over-reported, whereas they will only be focussing on the ones to their detriment. It could also help you spot if there is a problem with the software if there are any obvious inaccuracies. Are they disciplining anyone else in a similar way?

    I agree with this.     Out of interest, how big are these discrepancies? minutes or hours?

    I am not ssure how this has arisen - have you not been using your fob and tailgating others through doors?

    Were you trained in use of the fobs and was it explained their use was compulsory?

    a) Is use of the fob compulsoury?
    b) Is your fob damaged in some way - eg does it show you as not present on a day when you can evidence that you were
    c) Do you log onto a computer to do your work - if you do, is there a server side system which the IT guys could use to demonstrate an audit trail of when you were logged on?
