Discussions/appointments with the venue

Hi all,
It's 10 weeks today til our big day and our venue are being rubbish.
They are on their 3rd manager in 6 months and never seem to be very organised.
I want to book appointments with them at appropriate intervals and have agendas for each appointment iyswim? I just don't want them to ring up the morning of the wedding saying oh by the way we never discussed XYZ...
Please could you tell me what discussions you've had at what stage along the way so that I can send them a list of dates we want appointments and what is to be discussed at that appointment.
(I am aware I seem like a total control freak but I just want things to be stress free on the day and I can't work out a better way to organise the venue other than getting a job there!)
We have agreed the price, and are using their DJ/catering etc so far I have come up with...
appointment with DJ to discuss music
final numbers on wedding breakfast
final numbers on evening reception
final numbers on room reservations
details of favours/flowers arriving
table plan and layout
cake arrangement
order of the day
timings of things
Not sure when these things should be discussed though, if today is week 10 which week should it happen?

the final numbers - usually 1 month before
the rest I have already discussed with my venue - did it back in early MarchHad a thrifty wedding 17-06-10

We have booked, and have a meeting 3 months ahead to pay a bit more cash, discuss menus, approx numbers, etc.
Then we have another meeting 1 month before to pay the balance.
We then confirm final numbers about 3 days before.0 -

Hayley, most of what you have mentioned have been sorted out for us already, but we have got an appointment 6 weeks before the wedding, to make sure we are happy with what we have booked, and to give final numbers, pay balance etc.
So dont fret just yet! I'd make an appointment for about 4 weeks before if I were you xTank fly boss walk jam nitty gritty...0 -
Thanks, I'm going to arrange to go in about 3 weeks and then again the week before the wedding. I don't want their poor management messing up our day!!!
