Employers travel expenses

Trying to see if my employers are fair:

On company cars

Petrol

under 1.4 `12ppm
1.4.to 2.0 15ppm
2.01 to 3 18ppm
3.01 19ppm

Derv

under 1.4 9ppm
1.4.to 2.0 12ppm
2.01 to 3 14ppm
3.01 13.5ppm don't know why?

Are there better systems - this one does not differentiate on horse power for example a turbo 2l petrol may use more petrol than a 2.5 petrol but gets less ppm

Oil, cleaning and screen wash are included in the above rates.

Also what travel expenses are you allowed.

We get £5 for lunch - less what you would normally spend.
£25 for meals including one drink at hotels (bearly enough)
£10 for dinner if late home (after 9pm)
£5 for breakfast if starting out before 6 am

Are you allowed on route expenses eg refreshments if a trip is over 2 hours etc?

    You can claim tax up to 40ppm, so fill in a tax form for the difference.

    Got to say I think the mileage allowances are rather stingy. My employer pays 40p per mile, reducing to 23p, and as a local councillor I get 47.5p for every mile.

    What about insurance?

    Are you aware that "social, domestic and pleasure including commuting" will not included traveling on business (except for commuting to a single place of work).

    I hope everyone is making sure they are insured regardless of the payment situation.

    My employer pays 40p per mile for most cars.
    Our other expenses are flexible because different parts of the world cost different amounts e.g. Milan is very expensive whereas Bangalore is quite cheap.

    In my company if they get too tight then we find people are less willing to travel and people put their foot down and say they won't go.

    My employer now pays £50 per night for long stays on top of expenses to encourage people to travel.

    The OP is talking about a milage rate for company cars so doesn't care about any of the fixed costs as the employer is already paying them

    We get 40p per mile for personal cars but they max it out to a 100 mile round trip, above that you cannot use a personal car but have to get a hire car and get permission from your senior management team to do this.

    For company cars it is in line with what you posted.

    Our dinner allowance is the same unless you eat at the hotel which they have booked you into at which time it is simply a meal on their standard menu. In addition to the drink with the meal we can also have 2 additional drinks.

    Lunch is the same unless we are within X miles of an office with a canteen in which case you cant claim anything for lunch.

    We cant claim expenses on "2 hour trips" but then if you leave the office at 10am for a 2hr trip you arent buying anything more or less than if you were sitting in the office - if you are setting out early because of it you are getting your breakfast (and saving on breakfast costs at home).

    Personally I prefer taking the train/ plane anyway to driving as I can work/ sleep/ drink/ read etc.

    Our company is pretty much the same, 35p for under 1.4 and 40p for over on mileage for personal cars. As for the £5 for lunch, this is usually a 'subsistence allowance' that the IR allows per 24 hour period you are on business, as you would normally pay for lunch anyway, so this is a way around it. Every company me and DH have worked for have always allowed £25 including one drink for a meal, I have never had a problem with this even in very expensive hotels, you're not trying to suggest a main course and a drink would ever come to more than this are you?! Breakfast is normally in with the room rate, if not then we are allowed to claim back whatever the hotel charges for breakfast.

    For cars below 1400cc we get 10p, 9p, & 6p per mile for petrol, diesel & LPG respectively.
    12p, 9p & 7p for 1401 – 2000cc & 14p, 12p & 9p for over 2000cc

    We only have guidelines for hotel costs - £85 to include breakfast + £25 for dinner, no alcohol allowed,
    Saying that, in the 14 years that I’ve been with them they have never once refused to pay for – clearly itemised – alcohol or hotel/food bills that are over the guidelines.
    I guess it boils down to not taking the micky out of the system – besides I tend you use the same hotels on a regular basis & they know how to produce a receipt for business travellers ;)

    We can spend £10 on breakfast if we leave before 7am & £15 for an evening snack if we can not get back home before 9pm.
    All our expenses must be VAT receipted

    But surely that's for using your own car? The OP implies that his company's rates are for using a company car.

    Own car rates tend to be more generous as they include a payment for wear & tear & depreciation. For a company car, this isn't relevant as the company is paying for wear & tear and depreciation. The expenses are purely intended to (roughly) cover the cost of fuel.

    We get 40ppm for first 385m/month then 25ppm for personal cars.


    Also what travel expenses are you allowed.

    We get £5 for lunch - less what you would normally spend.
    We get this if working outside of home branch area.

    £25 for meals including one drink at hotels (bearly enough)
    We get DBB at 3* hotel with meal from Table D' Hote plus £4 per night for newspaper call home etc.

    £10 for dinner if late home (after 9pm)
    £20 if required to work away from home office and return home after 8pm.
    £5 for breakfast if starting out before 6 am
    Same.

    Are you allowed on route expenses eg refreshments if a trip is over 2 hours etc?
    If journey is over 3 hours and meeting time dictates departing before 6am the overnight accomodation provided as above on request.
    That's what we get.
