They may be able to do this via email (and email is legally binding in the same way a letter is). It may be worth trying to get hold of them over the phone and getting them to send an agreement via email - make sure it is clear that the email should state that it is a full and final settlement, that you will be absolved from any further liability and that the balance on your credit file will be changed to nil.
If nobody can come up with the numbers, i have found that the best way to contact the departments is to dial the creditcard activation number (as it is usually freephone) and then asking to be put through to the correct department.
