If myself and 2 work buddies travel up to a business show in the same car, can we each claim the 40p per mile or is it only for the person who owns the car?
Also what sort of records do you need to make the claim?
I'm a director and it is a limited company

Only one person can claim the 40p per mile. But you can add on an extra 5p per mile for every business passenger taken.
As for records, HMRC have usually been satisfied with a written mileage log though you should make some sort of comment about the purpose of the trip to show it was proper business mileage. If it’s not important to you, don’t consume it0 -
I usually use detail the postcodes of the start & end, purpose, mileage, any passengers & amount to be claimed per journey.0

Although your employer, if reimbursing mileage, can pay you 5p per mile per passanger you cannot claim this as an expense if they do not reimburse you.0
