CRB checks - what to do with them?

Hey all,

I've had 6 CRB's carried out on me this year from various volunteer agencies I've worked with over the year.

Do I need to keep all 6 copies? Or just the latest one?

As they are non-transferable between jobs then I'm not sure whether I should keep them!

Thanks

Although they are meant to be non-transferrable I've had an employer take my old one because it was within 6 months and at exactly the same level. If you are still at each of the places I'd keep them (in case they loose their copy) otherwise just the latest (and if any of the earlier ones are at a higher level that one)

Data Protection rules should mean that the organisations should not be keeping the forms for very long. They need only record that they have received the form, that they were seen by an appropriate person and that the subject person was acceptable.
  • I have recently had 2 CRB's done on me, one at basic level through Disclosure Scotland and one from the CRB itself at enhanced level. I was not allowed to submit my previous one to my potential new employers and they did not accept them, due to the fact that it old one is ''out of date'' and does not prove I am clear. Even though my disclosures show as ''none'' in convictions, most employers prefer to find out themselves. I can understand why this is the case.

Keep the disclosure numbers only for future referrence as it can speed up any future ones.

Your copy may be clear, but there are certain circumstances in which the copy seen by the employer won't be clear. That's one reason why showing an employer your copy isn't usually accepted: another is that the employer should check your ID before submitting the request, and if you show an old copy how do they know you're who you say you are?
