Advice for Venue issues

Hello!

Our wedding is booked for July 13th this year, and we booked a lovely country village hall for our wedding reception, mainly because we are short on funds so thought we would have a nice DIY wedding in a pretty location.
However now we are now having problems because although this venue stated that they seat 100 guests, we've now found that they barely have enough tables to seat 70- this is a big problem.
On top of this we were meant to be having the venue all day on the Friday to set up. We were advised that the local school would be using the field outside fo their sports day, but they would not be entering the building so it would not affect us setting up.
Now however they have realised that the school will actually be using the venue for their lunch. They've said they will be out by 13:30, so we can come to set up at 14:00.
My worry though is that I don't think they will be able to clear up an entire field, clean the hall and all the toilets etc after having a whole school full of children there in half an hour.

I have decided to look for another venue, as this is stressing me out beyond words. Problem is though that the only other venue we can find that will let us bring our own caterer and isn't hideously expensive has their own bar, which means we need to forfeit our deposit with the mobile bar company we've hired for the village hall, not to mention the deposit for securing the hall itself.

SO my question is- would you just bite the bullet with the original venue and try to find a way of getting extra tables and pray that the sports day doesn't cause carnage, or forfeit £350 and move to a slightly more expensive (but theoretically stress free, as they set everything up for you) venue?

    I'd be asking the venue to source and pay for the hire of the additional tables/chairs - assuming that they'll actually fit.

    In terms of the Friday - if you didn't pay for this, you may not be able to argue. How much set up do you actually need to do? It's a long long time since I've been to a children's sports day, but I really can't see it making that much mess, and I don't see any reason why they can't be cleaning the toilets whilst you're setting up in the hall.

    If they explicitly stated that they could seat 100 (and you have this in writing) but have now backtracked then they may be in breach of contract and therefore your deposit may be recoverable. I think you'd be out the bar deposit regardless though.
  • I think you need to take a deep breath...

    It's a long while since I've been to a sports day but from memory (& I assume you mean primary school age children) then I would imagine that any rubbish will be collected as it's generated (think black bags tied to gazebo)

    As for the seating I would make an appointment to go there & see what is actually there & how everyone can be accommodated.
  • Looks like they are hiring the hall out under false pretenses if they say it can seat 100 but do not actually have chairs and tables. I would expect them to sort it or give you your deposit back surely.
  • Hmm, firstly I would write a strongly worded letter to the first venue explaining that it was misrepresented and you relied on this fact, terms, promises etc and are now suffering a detriment. What's the different in price between the 2 venues? Weddings can be stressful enough even without hiccups so think about what your sanity is worth. Personally, our venue promised us a beautiful outdoor garden area for guests to mingle and have photos. As the date approached, we realised this was never going to happen. It was a car park instead. Not ideal but too late to do anything about it!
