Buisness Trip Expences

Hi All.
Im looking for some advice regarding expences for a buisness trip. My current empolyer is sending another empolyee and myself away for 4 days training (travel up on sunday , back thursday afternoon) they have arranged hotel accomadation which includes breakfast and prepaid the hotel £15pppn for an evening meal. we are traveling about 200miles for this course. My question is what expences should we be claiming for , i.e travel costs do we claim for just petrol or recive an alowance per mile? ive had conflicting advice. as we have to travel up on the sunday do we get paid for this travel time? and do we recive any form of compensation for the inconvineance of being away from home - entertainment costs?
this is the first time ive travelled away with work and i dont want to make the mistake of trying to claim for something im not entitled to but also i dont want to omit any claims i may be entitled to.
Thanks in advance.

You need to ask youor employer these questions - it all depends on yoour company policy.£705,000 raised by client groups in the past 18 mths :beer:0

40p/mile for the driver, plus there's a passenger amount they can claim of 5p/mile. So car owner would get 45p/mile.
I'd not expect to be paid for any travel time. Nor anything for inconvenience of being away. No entertainment amounts.
Your bed, breakfast and evening meal have been paid for. That just leaves lunch. For lunch I'd expect to have lunch reimbursed at a "reasonable amount", with a receipt being required. I'd say a reasonable amount for a lunch would be anywhere between £4 if you get a meal deal in a supermarket, through to about £6 for a cheap pub lunch. As you've had breakfast and will be getting an evening meal there's no need for a huge lunch. £15 evening meal is generous in my experience, it's about the going rate for something basic in a hotel, but a lot of employers are tight.
As it's a course you're on, most likely lunch is already provided for you - and tea/coffee/biscuits mid morning and mid afternoon, so it should be a jolly time out.0 -
hey fengirl, thanks for the responce, the company i work for can be a little diffucult at times and i wanted to know a little more about our rights before i go in asking questions as i dont want to be fobbed off. are you saying there are no standard rules regarding this kind of thing? thanks you muchly0

cheers pastures. so 45p/mile is the rate i should get.
i forgot to mention lunch i supplyed by the training centre so thats not an issue.
thanks again0 -
That certainly used to be the rate in the public sector but I doubt that there's any law saying all employers must pay this. I definitely wouldn't expect to get paid travelling time though.0

The rate is well out of date then as currently standard user sits at 58.3ppm.
If the Sunday is a rest day i would certainly expect travelling time at the appropriate rate.
Op, try and negotiate a subsistance allowance as well as the above and a social allowance in addition.Don’t be a can’t, be a can.0 -
thanks for all the responces. sunday is a rest day - so should i be asking for some sort of finacial supplement for this day? can anyone tell me if there is any minimum amount my employer is liable for, or is it purely up to them?0

Do you have class A business cover for your car use?
How would your employer get you (and your colleague) to the venue if you politely declined to take your car?
In terms of recompense for Sunday, i would be looking at being paid the shift at your appropriate Sun rate.Don’t be a can’t, be a can.0 -

Well, I haven't been in a position to claim for the last 2 years but has it really gone up from 40 to 58p in that period?
I've never known anyone to be paid travelling time in either the private or public sector.0 -
You really need to ask your employers because it varies so much.
My employers will pay 40p per mile plus 'reasonable' amount for lunch/dinner/hotel - but no alcohol. They will allow us to travel in work time but no overtime is ever paid for travelling (as it is for working) so if I travel on a Sunday we just get time off in lieu at normal rate. We are only allowed to use our own car if its a short journey and therefore cheaper than getting a hire car. Some employers will 'cap' mileage at whatever the cost of a coach/train ticket would have been (though this is becoming less common now as public transport has become so expensive).
I sometimes meet people on courses who get just the course fee and are basically expected to pay for their own meals, accommodation etc. This is most common with educational establishments.0
